Trophy Club Music Private Lesson Policies 2023

Tuition Payment

  • Lesson tuition is paid on a monthly basis 

  • Invoices are distributed via email (PayPal), and may be paid via PayPal, Venmo, Zelle, or personal check.

  • All lessons must be paid for by the due date on the invoice.

  • There is a 3 day grace period for missed payments. After this, late fees may apply.

  • If payment is not made in a timely fashion, Trophy Club Music (TCM) reserves the right to discontinue lessons

  • If a check is returned by the bank, the student (or his/her guardian) will be charged the bank fee.  

  • Parents/Students are responsible for the cost of any instruments, music, or other learning materials required for lessons. These are not included in lesson tuition.

Cancellation Policy

Planned Absences

  • The bill will be reduced if a student gives notice of planned vacations before invoices are issued for the affected time period

  • The bill will also be reduced for planned teacher absences and holidays

Unplanned Absences

  • Students are allowed unplanned absences for illness, etc provided that they communicate these with the teacher via text message as soon as possible

  • Most cancellations will be credited on the next invoice provided that they are communicated with the teacher in advance

  • If unplanned cancellations become more frequent than twice a month for two months or more, or the student repeatedly fails to communicate their absences with the teacher in a timely fashion, TCM reserves the right to charge for the cancelled lessons, and/or in extreme cases, to terminate lessons altogether.

  • Due to schedule limitations, reschedules are difficult and are not guaranteed 

  • If the teacher needs to cancel unexpectedly, a reschedule or account credit will always be offered 

In-Home Lesson Policy

  • For students under 18, an adult (someone over 18 besides the teacher) must be present in the home in order for a lesson to take place

  • If the teacher arrives at the student’s home for a lesson and the student or the adult is not present, the teacher will make an effort to contact the parent/guardian via text message or phone. If there is no response before 10 minutes has passed, the teacher will leave and the lesson will be forfeited 

  • Lessons that begin late due to student or second adult tardiness will not be extended past the scheduled end time

  • Any forfeited lessons due to tardiness of student or absence of second adult will not be credited, refunded, or rescheduled

Voluntary Withdrawal

  • Any student who wishes to withdraw from our lesson program must inform the teacher at least 2 weeks before they wish their lessons to end

  • Prepaid lessons may not be refunded in the event of withdrawal from the program

Required Materials

  • Students are expected to have a working instrument suited to their playing ability for at-home practice (speak to us for further guidance about instruments)

  • The teacher will advise on books and materials needed. These must be purchased on your own.

  • All instruments and materials needed should be available at the time of the lesson. If proper materials are not available, the teacher will make every effort to use the time well.  However, there will be no refunds, reschedules, or credits if a lesson is unproductive due to lack of proper materials

Parental Involvement

  • This studio encourages parents or guardians (and families too) to be involved in the student’s learning process.  Simple ways to do this are:

    • Encouraging (but not forcing) the student to practice. Establishing a regular practice time really helps!

    • Reminding student of things that were said in the lesson, helping them to stay organized, and making sure they are completing weekly assignments (consult your assignment book!)

    • Encouraging the student to perform lesson materials for family members or friends at home and to participate in recitals

    • Attending lessons with your student so that you also understand weekly assignments.  Families are welcome; however, observers are expected to be quiet and respectful so students can get the most out of their lessons.
